Flying Sams Executive Board Applications

President:
First and foremost, the President must take responsibility for the clinic under any and all circumstances so that the clinic runs to its full capacity. This responsibility includes, but is not limited to, going to the clinic whenever necessary, attending Palomar Chapter meetings, consistently communicating with the President of the Palomar Chapter, and serving as a liaison between any party as it pertains to the Flying Samaritans at UCI, regardless of (un)availability of any other officers.
Secondly, the President should provide overall leadership for the club as a whole. This includes supervision of all officer positions and activities, ensuring they work as a cohesive group and all duties are being fulfilled adequately and punctually.
Lastly, the President should maintain the functional integrity of the club and seek ways to improve the club.
NOTE: Due to the responsibility and importance this job entails, along with the extensive work it involves, the Flying Sams at UC Irvine board of officers has the option of appointing this position.
Co-Clinic Coordinator:
The Clinic Coordinators are responsible for managing the clinic and any additional functions pertaining to the patients of the clinic. He/She is responsible for coordinating the monthly clinic trips. This includes, but is not limited to organizing transportation, volunteers, physicians and other health professionals, coordinating surgeries and matters for patients with extraordinary needs, and working with the social services of Mexico. Due to the responsibility and importance this job entails, along with the extensive work it involves, the Flying Sams at UC Irvine board of officers has the option of appointing this position.
In addition, the Clinic Coordinators must maintain excellent relations with physicians, dentists, and other health professionals. They must consistently update the physician database with current licensing information. Monthly clinic reports need to be written in order to update Palomar on clinic trips as well as stored for future reference by the club. Clinic Coordinators are required to attend Palomar meetings once per month.

Vice-President:
The Vice President plays a crucial role in the organization and execution of fundraisers, events, trips, and meetings. Aside from upholding responsibilities of the President in his/her absence, the Vice-President is primarily responsible for the coordination and supervision of fundraising within the club. The most important examples of fundraising include coordinating Staff Pro events, on campus food sales, and “social nights” at different restaurants within the Irvine community.
The Vice President is also in charge of overseeing Flying Sams’ membership to the Irvine Chamber of Commerce. This includes attending events that would benefit our group and seeking out donations and volunteers from other Chamber members that are relevant to our cause.
Secretary:
The responsibilities of the Secretary include carrying out the necessary administrative functions of the organization. This includes updating and maintaining the Flying Sams e-mail list serve, sending out weekly reminders to the club members about meetings and upcoming events, bringing and tracking sign-in sheets for general meetings, writing the minute for officer meetings, and holding important Flying Sams documents i.e. donation letters, patient triage sheets, etc. In addition, the Secretary must work with the Clinic Coordinators to maintain an up to date record of clinic trip waiver forms.
The Secretary is responsible for compiling a master list of all memberships and working in close contact with the Treasurer and Web Developer to keep track of membership dues. At the end of each quarter, the Secretary must prepare an updated membership list for Palomar.
Treasurer:
The purpose of the Treasurer position is to coordinate all incoming and outgoing monetary transactions. This requires keeping a record of the ASUCI and Palomar accounts. The Treasurer must prepare and present a budget at the beginning of the year and continually update this budget accordingly. The Treasurer oversees costs and helps arrange for clinic supplies, memberships, T-shirt sales, transportation, reimbursements and funds directed towards special cases. Treasury reports should be presented at the end of each quarter. Financial decisions are made with the informed knowledge of the Treasurer as well as through the consensus of the entire board.
Co-Publicity Officer:
The Publicity Officers are responsible for advertisement on and off-campus. On-campus advertisement includes making posters (resources available at the UCI Student Center) and flyers (Clone Copy), and the distribution thereof. The Publicity Officer must consistently e-mail Anteater Weekly to give notifications about upcoming meetings and/or events, as well as maintain contact with the Dean of Students, the UCI Volunteer Center, and the undergraduate student housing community. The Publicity Officers must always strive to find effective and creative new ways to dispense information about the Flying Samaritans.
NOTE: Those running for this position must present a sample poster publicizing an event of their choice.
Director of Photography/Cinematography:
The Director of Photography/Cinematography requires active participation in ALL the activities that the club wishes to do and has passion and experience in editing and producing media. To accurately illustrate the work that occurs at the clinic and other club events, the Director of Photography/Cinematography must maintain a working compilation of pictures and videos in the UCI Flying Sams Facebook group gallery. The Director of Photography/Cinematography should work closely with the Web Developer and Secretary to document all events and provide consistency of information.
The Director of Photography/Cinematography is responsible for creating a 7-10 minute end-of-the-year video (incorporated with slideshow) of all club events that will be presented at the Flying Samaritans Annual Benefit Banquet.
NOTE: Those running for this position must present at least a one minute sample video of their work.
Banquet Coordinator:
The Banquet Coordinator is responsible for overseeing all aspects pertaining to the End of the Year Benefit Banquet. This includes scheduling the banquet facility, coordinating the catering, entertainment, invitations, and publicity. He/she must also work with the Fundraising Chair to organize donation items for a silent auction. The work for the banquet must be ongoing throughout the year.
Fundraising Chair:
The Fundraising Chair must work closely with the Vice President to coordinate all club fundraising events i.e. food fundraisers, restaurant takeovers etc. They must also assist the Vice President in the maintenance of our relationship with the Irvine Chamber of Commerce.
The Fundraising Chair is also responsible for organizing and assigning Board members as well as his/her subcommittee members to different businesses from which donation items can be collected. This must be an ongoing process throughout the year. These items will be put towards a silent auction and raffle held for the guests at the end-of-the-year benefit banquet.
Community Relations Chair:
The Community Relations Chairs seeks to expand the presence of Flying Sams in the Irvine community in ways that complement our mission in Mexico. They are responsible for getting members of Flying Sams together to participate in events for other non-profit organizations. This position will also govern relations with the Irvine Chamber of Commerce if the Executive Board chooses to join it.
Dental Chair:
The Dental Chair is responsible for communicating with dentists to acquire services and donations of supplies and equipment. He/She must also work towards educating the patients and supplying them with the necessary supplies and education for proper dental hygiene.
Pharmacy Chair:
The Pharmacy Chair’s position is crucial to the operation of the clinic. He/she must take stock of the medications within the pharmacy at the clinic, maintain an updated list when certain supplies run low, and pursue the connections/resources that can provide the Flying Sams at UC Irvine with generic medications in large quantities. The Pharmacy Chair must work closely with his/her subcommittee members in order that at least one member is on every trip (for the sole purpose of rechecking pharmacy status), and work closely with the Clinic Coordinators.
Public Health Chair:
The Public Health Chair is responsible for educating the clinic and surrounding community about general public health concerns. He/She must coordinate activities and/or health topics for the monthly clinics. This can be conducted via pamphlets, handouts, health supply bags, Chiropractic clinics, healthy food giveaways, sports, games, and educational workbooks for children. The Public Health Chair will work with the Dental and Pharmacy Chairs to ensure supplies are available and the community is educated.
Web Developer:
The Web Developer’s position is to maintain the Flying Samaritans at UC Irvine webpage, and to update with all pertinent information. This includes interacting with other Flying Sams organizations. It is necessary that this position is filled by someone who is proficient in computers and web design.
